Chair Guidelines

The following is general guidance for Session Chairs:

  • Please arrive in the meeting room at least 15 minutes before the session starts. The chair is responsible for running the session, which includes welcoming participants, introducing the speakers, loading speaker presentations, and hosting questions for each talk.
  • Please keep each talk and the session on time.
  • The talks in your session will be available on the google drive created for the meeting. The talks should be named according to the session name, the speaker name, and the order they appear in the epitome. That is "Session_LastName_TalkNumber.pdf". Files should be in either pdf or powerpoint formats, and filenames could include "public" which indicates the speaker wishes to have their talk made available online after the meeting.
  • Start the session by welcoming the participants and remind them that the DNP meeting adheres to the APS Code of Conduct.
  • Invited session talks are 36 minutes (30+6). Please given a 5-minute warning at 25 minutes and then a 1-minute warning.
  • Lead mini-symposium talks are 36 minutes (30+6), and warnings should be given as for invited session talks. (Mini-symposia include an invited talk and contributed talks.)
  • Contributed talks are 12 minutes (10+2). Please give a 2-minute warning at 8 minutes into the talk.
  • If a speaker is absent or an abstract is withdrawn, the session should be paused and then resumed when the next talk is scheduled. During the pause the chair can facilitate discussion on the previous talks or allow participants to talk amongst themselves.
  • Make sure speakers use the microphone provided for best sound quality.
